AI Features Terms

Version 2026-06-A · One global agreement covering every AI-assisted feature in VenueCore. Accepted once at onboarding alongside the MSA and AUP.

1. What this covers

Any feature labelled "AI", "Copilot", "smart", "auto-", "forecast", "anomaly" or similar — including but not limited to: support Copilot, POS skimming / anomaly detection, 13-week cash-flow forecasting, menu extraction from PDFs/photos, AI floor planning, demand forecasting, supplier/recipe suggestions, and any future AI surface added to the platform.

2. AI output is a suggestion, not a decision

AI features produce suggestions, summaries and probability estimates. They are not instructions, advice, diagnoses, audits or guarantees. Outputs can be incomplete, out of date, biased by training data, or simply wrong (commonly called "hallucination"). Where confidence scores are shown, they are indicative only.

3. Operational decisions remain yours

All operational, staffing, pricing, financial, accounting, tax, disciplinary, health-and-safety, food-safety, security and legal decisions remain the Customer's sole responsibility. You must apply human review before acting on any AI output that affects money, employment, customer health, regulatory filings or third-party rights. VenueCore is not your accountant, lawyer, HR adviser, food-safety officer or investigator, and AI features do not constitute professional advice.

4. Inputs, prompts & customer data

AI features process the data you put in front of them — orders, menu items, anonymised sales, support messages, photos you upload, etc. Do not paste payment card numbers, full bank details, government IDs or other regulated identifiers into AI surfaces such as Copilot; VenueCore filters obvious patterns where it can but cannot guarantee detection. AI inputs and outputs may be logged for safety, abuse detection and quality improvement.

5. Model providers & sub-processors

AI features currently run on Google (Gemini family) accessed via the Lovable AI Gateway. Providers may change; the current list is maintained in the Privacy Policy and DPA. By accepting these terms you authorise the routing of relevant inputs to those providers solely to deliver the AI feature you invoked.

6. Availability & rate limits

AI features are provided on a fair-use basis and may be throttled, degraded or temporarily disabled to protect service quality or control cost. No specific AI feature is guaranteed by the MSA's availability commitment.

7. No reliance for safety-critical use

AI features must not be relied upon for any safety-critical purpose, including life-safety, medical, allergen-only filtering, evacuation planning, or any decision where a wrong answer could cause physical harm. Allergen and dietary information must always be verified by trained staff against the supplier specification.

8. Acceptable use

You will not use AI features to: generate unlawful, defamatory, infringing or harassing content; impersonate any person; attempt to extract training data or model weights; or circumvent platform safety measures. Breach permits VenueCore to disable the feature for your venue.

9. Liability for AI outputs

To the maximum extent permitted by law, VenueCore is not liable for any loss arising from a decision you, your staff or your agents took in reliance on an AI output. The MSA's overall liability cap applies; nothing in these terms excludes liability that cannot lawfully be excluded.
